Donor Research Internship (unpaid)

MENTORED BY: Data Development Manager

PRIMARY FUNCTION: Donor prospect research, research report preparation, research data management

SKILLS LEARNED: Hands on experience in researching donor prospects and building cultivation strategies with the development team.

Internship Responsibilities

  • Under the mentorship of the Data Development Manager, learn how to research and identify prospective donors for our annual gifts, project support, and campaign gifts.
  • Help identify donor interest with program support and strategize with the development team on the approach.
  • Provide weekly written report research findings and update donor database profile.

Graphic Design Internship (Unpaid)

POSITION: Graphic Design Intern

MENTOR:  Ballet West Graphic Designer

PRIMARY FUNCTION:  Work on a wide variety of projects alongside experienced in-house designers and marketing team.

SKILLS LEARNED:  Position offers an excellent opportunity to work on substantive projects in the arts and can result in a great reference.

Internship Responsibilities

Design interns support our in-house team in the creation and revision of these projects: social media graphics, website pages, posters, banners, billboards, postcards, and advertisements.

Qualifications

              Junior, senior, or graduate status, pursuing a degree in Graphic Design or related field

              Proficient in Adobe Photoshop, Illustrator, and InDesign

Annual Giving Manager

Reports to:  Senior Director, External Affairs

Duties and responsibilities:

As we approach our 60th Anniversary season, we are poised to take on an ambitious slate of artistic programming while expanding our educational resources that reach a broader community.

The role of the Annual Giving Manager is to actively fundraise for Ballet West’s annual giving programs: Heritage Club, Membership, and Scholarship.  In addition, this role will create and promote projects and campaigns to increase annual giving donations. The Annual Giving Manager will be responsible for meeting an annual budget goal while providing elevated customer service and developing long-lasting relationships with donors.

  • Manage Heritage Club and Membership Programs
    • Work with Senior Director of External Affairs to craft strategies for annual giving; responsible for growing the membership base, starting with the entry level; improve engagement, retention rates and acquisition annually.
    • Manage robust annual and continuous direct mail campaign, including list management, creative oversight, budgeting, timelines, and overall strategy.
    • Partner with Patron Services to assist in advancing membership solicitation, renewals, cultivation and engagement, and benefit fulfillment.
    • Utilize wealth screening tools, Board of Directors, and staff to identify prospects for new and/or elevated gifts; develop a pipeline of annual giving donors.
    • Ensure all donor records in the database are up to date and portfolio plans reflect accurate forecasts and recorded revenue.
  • Manages Ballet West Scholarship Fund
    • Responsible for assessing current initiatives and creating new initiatives, all with the goal of fully funding Ballet West’s Scholarship program.
    • Manage targeted scholarship fundraising events, including those that support Park City Latin Scholarships. Assist with scholarship messaging as needed for Live PC Give PC, Social Media, and additional initiatives; coordinate grant submission with Foundations and Government Giving Manager.
    • Manage the process of inviting “Named Scholarship Donors” to work alongside Artistic Director and Academy Director in selecting annual scholarship; ensure website and onsite plaques are updated with annual scholarships; coordinate an introduction between scholarship donors and recipients, when prompted.
  • Other Support
    • Manages gifts made In Honor and In Memory of, along with appropriate recognition, gift renewals and proper recognition in playbill and website.
    • Works with Board Liaison to ensure benefit fulfillment for Board of Directors.
    • Delivers monthly Board Reports.
    • Attends and supports Ballet West Special Events, including but not limited to: intermission receptions, cast parties, fundraisers, donor salon events, etc. Assists with event execution onsite.

Manager, Special Events and Benefits

Duties and Responsibilities

 

The Manager, Special Events and Benefits will join a vibrant fundraising team who collectively work to amplify the mission, vision, and values of Ballet West. This role will help to provide a clear channel of communication and connection between Ballet West and the philanthropic community via benefit fulfilment, curated community events, and our annual major fundraiser.

Key responsibilities include:

  • Development Special Events
    • Under the strategic leadership f the Senior Director, External Affairs, implement all annual fundraising events (which currently include the Spring Sirée, Beer & Ballet, and Nutcracker Magic);
      • Design, deliver and process all invitations and RSVPs.
      • Coordinate with all vendors and stakeholders (external and internal).
      • Work within an allotted time and expense budget.
      • Conduct evaluation post-event.
      • Achieve specified revenue goals.
    • Execute department-wide stewardship effrts, partnering with the Director, Major Gifts and Corporate Sponsorships.
    • Schedule, train and direct a team f event staff and volunteers during Development events.
    • Identify in-kind partners as they relate t special events: venues, food and beverage, flowers, décor, etc.
    • Work closely with the Marketing Department to ensure appropriate material(s) are produced for events on-time and within budget.
  • Supports Domestic and International Donor Tours
    • Wrk with Senior Director of External Affairs and Directr, Major Gifts and Corporate Sponsorships in designing and executing dnor touring packages that include, but not limited to: donor communications, budget, travel itinerary, airfare, ground transportation, event tickets, donor experiences, etc.
  • Fulfill Corporate Contracts
    • Under the guidance f the Directr, Major Gifts and Corporate Sponsorships, ensure cntractual obligations are met for all corporate funders. Benefits include: complimentary tickets, naming recognition, signage, and events.
    • Supprt Corporate Industry Nights by executing outreach strategy and fulfilling performance benefits.
    • Track renewal dates fr corporate contracts and work with Directr, Major Gifts and Corporate Sponsorships to ensure all cntracts are renewed in a timely manner.
    • Implement a cultivatin and stewardship plans for current and prospective corporate sponsors, that could include hosting liaisons at performances, invitations to attend in-studio rehearsals, meet/greet artists, attend education and outreach programs, etc.
    • Prepare and submit End-f-Event/Program/Season reports for corporate sponsors; all submissions within three-weeks upon the conclusion of the sponsored activity.
    • Ensure all crporate sponsorships and in-kind donations are appropriately documented in Tessitura with signed contracts and accurate forecasts are reflected.
  • Support of Monthly Board Reports.

Substitute Administrator

Reports to: Business Operations Manager​

Major functions: To effectively represent Ballet West in carrying out the mission of the Academy, providing a ​ prestigious level of customer service while overseeing all administrative functions of the assigned campus.

General Responsibilities

Required Performance

  • Greet visitors to the campus, respond to clientele with warmth, efficiency, patience, and energy.
  • Assist local staff and Campus Principal in the coordination of student performances if needed.
  • Help to monitor account balances and financial transactions (e.g., tuition, fees, petty cash, boutique shop, etc.).
  • Maintain student attendance, records, and enrollment data for the campus, providing accurate reporting.
  • Oversee student and parent volunteers when necessary, by providing tasks to ensure productivity.

  • In coordination with the Campus Principal and Academy Senior Operations Manager, maintain weekly campus studio schedules with up-to-date staffing, and approved outside rentals.
  • Administer first aid and medication to students who are under the direction of health professional to meet immediate health care needs.
  • Maintain inventories of supplies and materials (e.g., general supplies, equipment, boutique, facility management, etc. ), while ensuring facility standards according to policy and local laws.

Stage Manager and Production Operations Coordinator

Reports To: Director of Production, Production Stage Manager

Job Purpose

Assists in production operations and stage management duties. Primary responsibilities include: assist with managing the production needs and services for Ballet West, Ballet West II (BWII) and the Academy, and coordinate production needs for Marketing and Development programs, performances, and events.

Duties and Responsibilities

Stage Management Primary Duties:

  • Serve as the primary Stage Manager for all BWII and Academy performances and events, including:
    • Produce all necessary running paperwork;
    • Produce and/or updating production schedules for all BWII and Academy performances and events;
    • Assist with the set-up and strike of the performance space when applicable (laying marley, distributing costumes, etc.);
    • Assist with active transportation of all production gear;
    • Call/supervise all performances;
    • Produce and distribute performance reports for all performances and events;
    • Participate in any post-mortem meetings for these performances and events, if scheduled.
  • Serve as the stage manager, under direct supervision of the Production Stage Manager, for all BW performances, including:
    • Manage the deck for all onstage rehearsals and performances;
    • Assist the Production Stage Manager with running paperwork as necessary
    • Maintain safety backstage
    • Create and distribute performance reports, if assigned
    • Call follow spots or full ballets, if assigned

Production Operations Coordinator Primary Duties:

  • Manage all scenery and costume rentals for Ballet West (responding to inquiries, creating and executing contracts, facilitating shipping, coordinating payment, arranging supervisors for full length ballets, reconciling deposits, etc.)
  • Facilitate production operations for all BW, BWII, and Academy productions, performances, events and tours from design and planning stages to execution and post-mortem, as directed.
  • Assist in management of production budgets, payroll, timekeeping, purchasing and record keeping for BW, BWII and Academy, including producing and submitting check requests, and maintaining budget vs. actual spreadsheets for all projects.
  • Work with the Director of Production to participate in design processes for BW, BWII and the Academy, including:
    • Maintain production department calendars and schedules;
    • Prepare and submit bids, estimates, and proposals in coordination with Director of Production;
    • Assist Director of Production to facilitate communication between design teams and construction shops.
  • Coordinate transfer and touring freight and trucking logistics for BW, BWII and the Academy, and any other ancillary events, as directed.
  • Assist, as directed, in supervision of production and/or event staff for BW, BWII, the Academy, and ancillary events, projects, and programs.
  • Assist with projects as assigned by Director of Production.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily and demonstrate exceptional organizational skills in managing all aspects of production while delivering the highest possible production values for Ballet West, Ballet West II and Academy performances. The requirements listed below are representative of the knowledge, skill and/or ability required.

Qualifications include:

  • Undergraduate degree preferred, but not required.
  • Experience as a stage manager, technical director, production manager, or production supervisor.
  • A minimum three years of theatrical production management or experience at a professional level, preferably ballet.
  • Must possess strong computer skills and an ability to work within the Windows environment, specifically, Word, Excel, and Outlook.
  • Requires excellent written and oral communication skills, the ability to manage multiple projects from various locations (office, in theatre, at home, and on tour).
  • Must be able to work well under pressure and remain extremely organized, while maintaining a sense of humor.
  • A working knowledge of a CAD type program is a plus (Vectorworks is preferred).
  • Knowledge of audio/video control (QLab) and recording systems and operations is helpful.
  • Valid Passport and Driver’s License required. Ability to drive large box trucks is a plus.
  • Ability to travel nationally and internationally.

Ballet West Academy Principal Accompanist

Principal Supervisor: Music Director

Reports to: Academy Director and Music Director

Staff reporting to this position: None

Major functions: Provides piano accompanist services for Ballet West Main and Second Company and Ballet West Academy, including playing for class and rehearsal with no more than Five (5) hours of class per day.

General Responsibilities

Abide by Ballet West policies as explained in the Employee Handbook giving special attention to the Code of Conduct, be on time to work day as scheduled, and embody the Ballet West values.

Required Performance

Primary Duties:

  • Accompanies classes and rehearsals for the Ballet West Academy
  • Accompanies classes and rehearsals for the Ballet West Main and Second Company

Additional Duties:

  • Accompanies Academy summer programs, as required
  • Travel to various Academy locations
  • Assist in Curriculum content in reference to music
  • Attend faculty and staff meetings and in-services when required
  • Attend professional development workshops as requested
  • Serve as a team member on projects as assigned by Music Director and Academy Director
  • Supports Academy performances with recorded music preparation and live accompaniment

Qualifications

A. Education and Experience

  • 10 years experience in piano technique and performance
  • Basic computer skills
  • English required, additional languages an asset

Knowledge, Skills and Physical Requirements

  • Highly accomplished technical and musical ability
  • Strong sight-reading skills
  • Experience as a class/rehearsal pianist on the professional or community level or in an academic or training environment
  • Working knowledge of ballet vocabulary & repertoire and a strong familiarity with the rehearsal process in the studio
  • Strong interpersonal skills
  • Administrative and coordination skills
  • While performing the duties of this job, the employee is regularly required to write, type, talk or hear.
  • The employee is frequently required to sit on piano benches for long periods of time.
